Merge two records for the same client
Fold a duplicate into the record you want to keep, without losing their visit history.
The same person can end up with two records — they booked once with an email and once with only a phone, an import spelled their name differently, or they have two email addresses. Merging joins them.
Steps
- Open Dashboard → Customers and click the record you want to keep.
- Under Possible duplicates, find the other record.
- Click Merge into this record, then confirm.
Booked suggests duplicates by matching the same phone number written differently, or the same name. Two records can never share an email address, so that is not a signal it looks for.
What the merge does
The record you kept is the one that survives, and it only ever gains:
- Bookings from the other record move across. Nothing is detached.
- Blank fields are filled from the other record. If the one you kept has no email and the duplicate does, it is adopted.
- Fields you already had are left alone. An email on the record you kept is never replaced — that is the address that has been receiving confirmations.
- Notes from both are kept, one after the other. Neither is thrown away.
- Tags from both are combined, with duplicates collapsed.
The other record is then deleted. This cannot be undone, so pick the survivor before you start.
Deleting instead
Deleting a client record is a different thing and rarely what you want. Their appointments stay on your calendar under the name and contact details they booked with, but stop being linked to any client record — so you lose the visit history without losing the bookings. If the two records are the same person, merge.
