Add a note to a customer
Notes are private to your shop. They're the "always uses 3 on the sides" you meant to remember.
Notes are shop-side only. Customers never see them.
Steps
- Open Dashboard → Customers.
- Click the customer.
- Under Notes, click Add note.
- Write it. Save.
The most recent note appears on the customer's row in the calendar sidebar when they show up for an appointment, so anyone in the shop can see it before the client sits down.
What to write
- Preferences ("3 on sides, texture on top").
- Allergies ("reacts to sulphate shampoo").
- Small talk memory ("golden retriever named Max, wife's a teacher").
- Business flags ("cash only, always tips 20%").
Write it while they are still in the chair
A note written at the end of the appointment is accurate. One written on Friday about Tuesday is a guess, and a wrong note is worse than none — telling a client you remember something and getting it wrong is more awkward than admitting you forgot.
Keep the first line useful
Only the most recent note is shown on the calendar, and only the beginning of it is readable at a glance. Put the thing somebody needs to know before the client sits down at the front: the allergy, not the dog's name.
What not to write
- Anything a customer would object to seeing if the note was accidentally shared. Assume every note will one day be read aloud, because a data request can make that literally true.
- Medical detail beyond what is needed to deliver the service safely.
- Payment card numbers or ID numbers. Ever.
Who can see them
Everyone you have added as staff with dashboard access, at your shop only. Notes never leave the shop, never reach the customer, and are never visible to another business on Booked.
