Set up a standing appointment
Book a regular into the same slot every week or fortnight, in one go, without re-entering it each time.
Regulars who come in every second Tuesday at ten do not need re-entering every
fortnight. Book the series once.
Set one up
- On Calendar, tap + New booking.
- Fill it in as usual — service, staff, time, customer.
- Tick Repeat this appointment.
- Choose how often (every week up to every 12 weeks) and how many.
- Create.
Every appointment is made straight away, so they all appear on your calendar
immediately.
They are ordinary bookings
That is the point. Each occurrence is a normal appointment: you can move one,
cancel one, mark it complete or no-show, and take a deposit on it, without
touching the rest. There is no special "recurring appointment" mode where half
the buttons stop working.
Open any of them and you will see it marked as part of a standing appointment,
with a Cancel all future button if you want to stop the whole thing. That
only affects appointments that have not happened yet — past visits stay on the
record.
The hour does not drift
A ten o'clock appointment stays at ten o'clock through daylight saving. It is
worth saying because plenty of systems get this wrong and quietly move half a
year of bookings by an hour.
Clashes are skipped, not fatal
Over six months a repeating slot will hit something — a holiday, a one-off
booking already in the diary. Those occurrences are skipped and the rest are
booked. We tell you how many were skipped so you can place them by hand rather
than discovering the gap later.
If every occurrence clashes, nothing is booked and we say so.
What the customer gets
One confirmation, for the first appointment, then the usual reminder before
each visit. We do not send twenty-six confirmations at once — that reads as a
fault, and it is not how anyone actually tells a regular they are booked in.
Limits
- Every 1 to 12 weeks, and 2 to 52 appointments in a series. Fifty-two
is a year of weekly visits; past that your prices, staff and hours will have
changed anyway, so book the next stretch when you get there.
- Weeks only. "The third Thursday of every month" is not supported.
- Owner side only. Customers cannot set up a repeating booking themselves.
