Waitlists for full sessions
When a class fills up, customers can ask to be told if a place opens. Nothing is held — first to book gets it.
When a group session fills up, it stays on your booking page marked FULL.
Tapping it lets a customer leave their name and be told if a place opens.
There is nothing to switch on. Any service with more than one seat per session
gets this automatically.
What happens when a place opens
We check every five minutes. The moment a seat frees up — someone cancels,
reschedules away, or you raise the seat count — everyone waiting for that
session is messaged by email, text, or both, depending on what they gave you
and what your plan includes.
Nothing is held
This is the part worth being clear about with customers, and the messages say
it outright: a freed place is not reserved for anyone. Everyone waiting is
told at the same moment and whoever books first gets it.
That is deliberate. Holding a seat for one person while telling everyone else
it is available would mean the booking page and the actual availability
disagree — and the thing that makes double-booking impossible in Booked is that
they never disagree.
What you see
Your Calendar shows a waitlist panel whenever anyone is waiting for an
upcoming session. It lists who is waiting, for what, and their contact details,
and tells you who has already been told a place opened. You can remove anyone
from the list.
The panel is hidden entirely when nobody is waiting.
Leaving the list
Every message includes a link that takes the customer off that waitlist, no
login needed. You can also remove people yourself from the Calendar panel.
Entries clear themselves once the session has been and gone — there is nothing
to tidy up.
What it does not do
- It does not book anyone in. A waitlist entry is a request to be told, not
a booking, and it never becomes one on its own.
- It does not take payment. If your service takes a deposit, the customer
pays when they book, exactly as normal.
- It is per session. Joining the waitlist for Tuesday 10:00 says nothing
about Thursday.
- One-person appointments do not show a waitlist. Only services with more
than one seat per session display a FULL slot to queue on.
